Repeated status updates
Stop asking people to record the same completed work twice
When a quotation is sent, a payment arrives or a production step is completed, the management system should reflect that real event without another round of copying and clicking.
What happens today
The quotation was sent, but the CRM still says “estimating”
An estimator prepares the quotation, saves the approved PDF and sends it to the customer. The real work is finished. The estimator must then return to the CRM, find the same enquiry, change its stage, attach the file and set a follow-up date.
If that second task is forgotten, colleagues see an old status. A manager may ask whether the quotation is ready, another employee may start checking the same request, and the promised follow-up never appears.
The saved quotation and sent email already prove what happened. When that proof is clear, it can prepare or make the matching status update.
How it can work
Use the completed work as proof that the status changed
- Notice the real resultAn approved file is saved, a message is sent, a payment appears or a production operation is completed.
- Check the linkConfirm that the result belongs to the correct enquiry, order, invoice or task.
- Choose the safe actionUpdate a clear case automatically, suggest the change for review or leave an unclear case to a person.
- Change the statusUpdate the agreed record in the CRM, ERP or task system.
- Create what comes nextAdd the follow-up date, responsible person or next task.
- Keep the reasonRecord which file, message or result caused the change.
Three safe ways to handle a change
Only clear and harmless cases should update themselves
Update automatically
Use this when the result clearly belongs to one record, the change is allowed and it can be corrected easily.
Ask for one-click approval
Show the proposed status and the reason, then let the responsible person confirm or change it.
Leave the record unchanged
If the event is unclear, conflicts with the current record or could cause a serious consequence, send it to a person for review.
Who does what
The employee completes the work. The system carries the result to the right record.
What the system can do
- Watch for agreed files, messages, payments or completed operations
- Link a reliable result to the correct record
- Update the status or prepare it for approval
- Attach a reference to the file or event
- Create the next task and record why the change happened
What the responsible person decides
- What really counts as completed work
- Whether a partial or unusual result is acceptable
- Who owns the next step and which work comes first
- Whether to send, approve, pay or make another important commitment
Cases that need care
A new file does not always mean the job is finished
- The result is incomplete: keep the task open until all required parts are present.
- The correct record is unclear: require a reliable order, customer or task number before changing anything.
- The same event arrives twice: recognise it and avoid moving the process forward a second time.
- The current status conflicts: show the existing record beside the new result and ask for a decision.
- A change was wrong: keep the previous status and source event so an authorised person can correct it.
What actually happened
The approved quotation PDF is saved with the correct enquiry number and the email is sent to the customer from the sales mailbox.
What changes in the CRM
Set the enquiry to “quotation sent”, attach the PDF reference and create a follow-up for three working days later. If the email was only drafted, keep the current status and ask the owner to approve sending.
A practical way to start
Choose one repeated update with clear proof
- Suggest the change: prepare a short review list from one folder, mailbox or system event.
- Make one safe update: connect a reliable event to one status change that is easy to correct.
- Connect two tools: carry the result, status and next action between the systems the team already uses.
- Handle the full transfer: add approvals, owners for unclear cases, monitoring and a history of changes.
Where this helps
Repeated updates where the finished work leaves clear proof
This works when a file, sent message, payment or approved result can be linked to one clear item. If completion depends on technical judgement that the event cannot prove, the system should only prepare the update for a person to confirm.
